Email verification

Checking whether an email address can actually receive mail before you send to it.

Definition

Email verification is the process of checking whether an address is real and able to receive mail, without sending a message to it. A full check usually runs in layers:

  1. Syntax. Is the address well formed?
  2. Domain and MX. Does the domain exist, and does it have a mail server?
  3. List checks. Is it a disposable domain? Is it a role address like info@?
  4. Catch-all probe. Does the domain accept mail for any address?
  5. Mailbox check. Connect to the mail server and ask whether this specific mailbox accepts mail, then hang up before anything is sent.

People often use "verification" and "validation" interchangeably. A useful distinction: validation checks the format and the domain, while verification goes further and asks the mail server about the mailbox.

Why it matters

Addresses go bad all the time. People change jobs, companies rebrand, and forms collect typos. Sending to dead addresses produces hard bounces, which hurt sender reputation and can get campaigns paused by your email platform.

Verification is cheaper than the damage. It lets you remove the addresses that will fail and decide how to handle the uncertain ones before they affect your domain.

No verifier is perfect. Catch-all domains, security gateways and servers that refuse to answer leave some addresses uncertain. A good tool says so instead of guessing.

How SimpleCold handles it

SimpleCold runs the steps above in order and stops early when an answer is clear, so a syntax error never costs a mail server connection. Each address comes back in one of three categories: Deliverable, Risky or Undeliverable. A server that won't confirm the address gives Risky with the status no_response. Every result includes a status code and a plain reason, such as "The domain accepts mail for any address, so this mailbox can't be confirmed." for a catch-all domain. Misspelled domains get a suggestion.

You can check one address with the free email checker, upload a CSV to the bulk email verifier, or call the API.
