Definition
List hygiene is the set of habits that keeps an email list healthy over time. A one-off clean-up helps once. Hygiene is the routine that stops the list from rotting again.
Typical tasks:
- Verify addresses when they are collected, at the form or on import.
- Verify the whole list before a large send, or when it has not been mailed for a while.
- Suppress hard bounces and unsubscribes permanently.
- Remove duplicates and fix obvious formatting problems.
- Review contacts who have not engaged in a long time, try to re-engage them, then let them go.
- Keep track of where each contact came from.
Why it matters
Lists decay on their own. People change jobs, abandon inboxes and close accounts. Companies get acquired and retire domains. Every month a list sits unused, a few more addresses stop working.
Poor hygiene shows up as higher bounce rates, more spam complaints from people who forgot they signed up, a higher risk of hitting recycled spam traps, and paying your email platform for contacts who will never open anything. All of it erodes sender reputation, which affects the good contacts too.
How often you clean depends on how fast your list changes. A B2B prospect list built from enrichment data goes stale faster than a customer newsletter list. Verifying before each cold campaign and on a regular schedule for marketing lists is a sensible default.
How SimpleCold handles it
SimpleCold handles the verification part of hygiene. Upload a CSV to the bulk email verifier and you get every original column back with Result, Reason, Reason code and Suggestion columns added, so you can filter in a spreadsheet or re-import with tags. For new contacts, the API checks addresses as they arrive. Engagement-based pruning still happens in your email platform.
